QUICK START

From first record to closed claim

  1. Set the organization workflow.In Administration, choose Vehicle, General Transport, or Broker and complete organization settings.
  2. Build reusable profiles.Add drivers, customers, and—when using Broker mode—carriers and their COIs.
  3. Create the record.Enter the incident and claim dates, responsibility, customer, driver or carrier, estimate, notes, and attachments.
  4. Resolve audit attention.Classify estimates, BOLs, invoices, COIs, and pictures so the record can become Audit Ready.
  5. Manage recovery separately.Record each recovery entry, collection method, due date, and proof without confusing it with customer payment.
  6. Communicate and close.Email the claim package, preserve the communication history, record the closure reason and date, then export when needed.

How common work gets done

Create a claim or damage recordView instructions

Choose New Record, select Claim or Internal Damage, then add the customer, driver, incident details, claim date, estimate, and supporting files. Save starter records as Under Review when the official estimate or required evidence is not available yet.

Make a record audit readyView instructions

Add an estimate amount and at least one classified supporting document, such as an estimate, invoice, or BOL. Add delivery pictures when applicable. Open the audit-attention notice to see exactly what is missing and use Edit Claim to correct it.

Begin and track recoveryView instructions

Open the claim or driver profile and choose Begin Recovery. Select the recovery method, add an itemized amount, and confirm the collection date when payroll applies. Claim payment to the customer and driver collection are tracked as separate statuses.

Send a claim packageView instructions

Open a claim, choose Email Claim, select saved recipients or enter additional addresses, and turn on New Claim Package to include the customer, damage summary, and estimate amount. Review every attachment before Send and Log.

Import a claim batchView instructions

Go to Reports, download the Excel template, and follow the column names exactly. Upload the completed workbook and any supporting files listed in its file manifest. Imported records with missing required evidence remain visible under audit attention.

Work with directoriesView instructions

Drivers, customers, and carriers are reusable profiles. Select existing profiles while creating records, open a profile for its claims and recovery history, and mark former drivers inactive to remove them from ordinary lists without erasing history.

Use General Transport or Broker modeView instructions

An administrator can select the organization workflow mode in Settings. General Transport supports claims that are not VIN-centered. Broker mode adds carrier profiles and COI storage while preserving the same claims, evidence, recovery, and audit controls.

Run reports and exportsView instructions

Use the date range and filters before exporting. Excel is best for working data; branded PDF is best for sharing a readable record. Reports follow the active organization and the signed-in user’s permissions.

FREQUENTLY ASKED QUESTIONS

Answers in plain language

What is the difference between Under Review, Open, and Closed?Show answer

Under Review is a starter or disputed record that is still missing an approved estimate or required support. Open means the claim has an approved amount and remains active. Closed means the claim outcome is complete; the historical amount remains available even when current exposure becomes zero.

Why is a claim marked Not Audit Ready?Show answer

The record is missing an estimate amount, a correctly classified estimate or BOL, or other required evidence. Older attachments may need their type corrected in Edit Claim. An authorized audit exemption may be used only when the exception is legitimate and documented.

Does closing a claim close driver recovery?Show answer

No. Customer claim closure and driver recovery are separate. A customer may be paid while recovery remains open, or recovery may be completed before the customer payment is finalized.

When do open days begin?Show answer

Open days begin from the claim date for an official claim. If the record is marked Not an official claim yet, it does not accumulate claim open days until it becomes official.

How do I find a record quickly?Show answer

Search by Cardinal claim ID, external claim number, load number, customer, driver, or VIN. The final seven VIN characters are enough to locate a connected vehicle claim.

Can I add more files without replacing earlier files?Show answer

Yes. Add new attachments from Edit Claim or the relevant evidence, recovery, or profile view. Existing stored files remain attached unless an authorized user explicitly deletes them.

What should I upload for document intelligence?Show answer

Use an official estimate, claim invoice, BOL, COI, or similarly structured business document. Cardinal proposes extracted fields for review; a user must verify the values before they become part of the claim record.

Who can see our organization’s records?Show answer

Only approved members of the organization, subject to their administrator, claims-manager, recovery, or viewer permissions. Other customer organizations cannot access the organization’s claims, directories, or evidence.

What happens when a driver becomes inactive?Show answer

The driver leaves normal active lists but retains the historical profile, claims, files, and recovery history. Uncollectible balances can be moved to non-recoup tracking instead of being erased.

Where can I see sent email history?Show answer

Open Communications for the complete ledger, or open a claim and select its email history. Logged entries show the claim, recipients, sent date and time, attachments, and delivery status when available.
